SmartFence, a product of Future Front Innovations Inc. ("we", "us", or "our"), is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform. We are a company incorporated in Manitoba, Canada and comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable US state privacy laws.

SmartFence operates as both a data controller (for information collected directly from our business customers) and a data processor (for end-consumer data collected on behalf of our fence company clients through the platform). This policy covers both contexts.

1. Information We Collect

From business customers (fence companies): We collect information you provide when signing up and using SmartFence, including name, email address, phone number, company name, service area, pricing information, and billing details. We also collect usage data such as login activity, platform interactions, and configuration settings.

From end consumers (homeowners using your SmartFence tools): When a homeowner interacts with your Fence Advisor, AI chatbot or fence estimator, we collect information they submit such as name, email address, phone number, property address, fence preferences, and any messages exchanged. This data is collected on your behalf and is accessible to you through your lead management dashboard.

Automatically collected data: We collect standard web analytics data including IP addresses, browser type, pages visited, and session duration through cookies and tracking technologies including Google Analytics and Google Tag Manager.

2. How We Use Your Information

We use the information we collect to provide, operate, and maintain the SmartFence platform; to configure and improve your Fence Advisor and AI chatbot; to process billing and send transaction-related communications; to provide customer support; to send product updates and promotional communications (with your consent); and to analyse usage patterns to improve the platform.

We do not use end-consumer lead data submitted through your SmartFence tools for any purpose other than delivering that data to you as the subscribing business.

3. AI Consultant and Data Training

SmartFence's AI consultant is configured using business information you provide, such as your service areas, products, and pricing. This information is used solely to power your Fence Advisor and AI chatbot and is not shared with other SmartFence customers or used to train general AI models. Conversation transcripts between the AI and your customers are stored and made available to you in your dashboard. You may request deletion of this data at any time.

4. Sharing of Information

We do not sell your personal data or your customers' data. We may share information with trusted third-party service providers who assist in operating our platform, including cloud hosting providers, payment processors, and analytics services. These providers are contractually obligated to keep your information confidential and use it only for the purposes we specify.

We may disclose information if required by law, court order, or regulatory authority, or to protect the rights, property, or safety of Future Front Innovations Inc., our customers, or the public.

5. Data Retention

We retain your account and business data for the duration of your subscription and for 30 days after cancellation, during which you may export your data. Lead and conversation data collected through the platform is retained for 12 months by default and can be deleted earlier on request. Billing records are retained for 7 years as required by applicable law.

6. Cookies and Tracking

We use cookies and similar tracking technologies to operate the platform and analyse usage. This includes Google Analytics (for website analytics) and Google Tag Manager (for managing tracking scripts). You can control cookie preferences through your browser settings. 7. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. This includes encrypted data transmission (HTTPS), access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure and we cannot guarantee absolute security.

8. Your Rights

Under PIPEDA and applicable US privacy laws, you have the right to access the personal information we hold about you, request corrections to inaccurate information, withdraw consent for non-essential data uses, and request deletion of your data subject to legal retention requirements. 9. Children's Privacy

SmartFence is a business-to-business platform not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or a prominent notice on the platform at least 14 days before changes take effect. The date at the top of this page reflects when the policy was last updated.
